This position plays a key role in supporting the Use Inventory Management and Rentals Teams by handling reporting, auditing, and special projects in partnership with the Director. The role is central to driving critical initiatives like the Clarity conversion, rebranding efforts, and strengthening the new Choice relationship. Success in this role depends on strong attention to detail, accurate data validation, and effective system updates to ensure smooth operations, maximize inventory usage, and enhance revenue outcomes.
Key Responsibilities:
- Generate Ad Hoc Reports: Create and deliver customized reservation and revenue reports from the Central Reservation System (CRS) and Property Management System (PMS) as needed to support revenue optimization, inventory utilization and OneHGV integration initiatives effectively.
- Manage RCI Allocations: Develop and implement the yearly RCI inventory allocation plan based on historical deposits, owner usage trends, and resort renovation schedules. Secure inventory in AS400 according to the approved plan to ensure alignment with operational goals.
- Support Resorts’ Deep Clean and Preventative Maintenance (DCPM): Oversee the annual DCPM schedules by collaborating with resorts and Inventory Coordinators to create comprehensive schedules. Secure and book inventory in AS400 and PMS systems to support these maintenance activities.
- Support Use Inventory Yield Management Club Inventory Changes: Update the CRS with inventory allocation adjustments as recommended by the yield management team, ensuring inventory is optimized effectively.
- Ongoing Support for Use Inventory Yield Management of HOA Inventory: Allocate HOA inventory strategically to achieve budgeted occupancy and revenue goals, supporting the HOA’s financial objectives and owner occupancy.
- Maintain Current Resorts’ Renovation Tracking System: Assist the Use Inventory Team in managing renovation and offline inventory schedules for resorts. Responsibilities include updating the CRS, enhancing the processes, and tracking/reporting renovation progress.
- Support the Process of Generating Fixed Week Reservations: Partner annually with IT and the Use Inventory team to complete the process of generating fixed owner reservations in PMS. Leverage AS400 ownership data and delinquency statuses to ensure accurate and timely booking of fixed owners’ reservations.
- Monitor and Optimize ADR Performance: Analyze daily reports to identify and adjust non-rental reservations incorrectly categorized as rental reservations. Follow up on low ADR reservations made at the resort level, evaluate active rate plans and promotions booked, and recommend adjustments as needed to improve ADR.
- Oversee AS400 Inventory Rental Inventory Controls: Regularly review and adjust AS400 rental Inventory settings such as available inventory, Minimum Length of Stay (MLOS) requirements, blackout dates, using the contiguous night settings. Special focus is given within a 90-day inventory window.
- Manage Rental Reservation Email Inbox and Identify Trends: Monitor the general rental inbox connected to rental partner platforms (e.g., Choice, OTAs, SiteMinder). Address emails related to Choice exceptions, rental guest communications, and internal correspondence. Notify teams of significant trends or issues.
- Perform Choice Stay Confirmation Audits: Conduct biweekly audits of reservations processed through Choice Central by comparing them with TSW data. Verify actual stays, payment details, early check-outs, and no-shows to update Choice’s billing system. Ensure timely updates within the 120-hour post-checkout window to avoid unnecessary commission charges.
- Support Choice Revenue and Occupancy Reporting: Generate reports twice weekly to verify actual stays, stay dates, and payments for reservations processed through Choice Central. Ensure accuracy in Choice’s billing system to prevent overcharges.
- Reconcile OTA Reservations (Expedia & Booking.com): Complete month-end reconciliation of OTA checkouts. Update no-shows, early check-outs, and reduced rates in OTA systems by the 4th or 5th of each month, ensuring compliance with timelines, including weekends.
- Assist in Managing Rental Groups: Create AS400 upload files for group bookings, track group reservations, and provide updates on reservations nearing the cutoff without pickup.
- Audit Online Booking Channels: Conduct regular audits of partner site content, including tax rates, resort photos, unit and resort descriptions, guest review responses, rate plans, and promotions to ensure accuracy and alignment.
- Develop Booking Channel Performance Reports: Create and deliver daily reports to analyze booking channel performance, including nights booked, revenue generated, and ADR metrics.

Required Experience:
- Bachelor’s degree in hospitality, finance, economics, statistics, or a business-related field or a minimum of 5 years of timeshare or hotel revenue and inventory management experience.
- Expertise in Microsoft Word, Outlook, and PowerPoint.
